    What emergency passenger charter covers

    Emergency passenger charter is the movement of a group of people at short notice, where the standing schedule cannot do it or cannot do it in time. It is a different discipline to medical evacuation. There is no patient and no clinical crew, but it shares the same operating tempo and the same need for decisions made quickly on incomplete information.

    The recurring situations are workforce withdrawal from a site or country, corporate and family relocation when circumstances change, crew changes where a vessel or project cannot wait, group recovery after a scheduled cancellation or airline disruption, movement ahead of an approaching weather system, and cohort relocation following an incident.

    If the movement involves a patient requiring medical care in flight, that is medevac rather than emergency passenger charter, and the desk will route it accordingly. Both are staffed on the same 24/7 number.

    What to tell us in the first call

    You do not need complete information to start. Sourcing can begin on partial detail, and the fastest path is to call the desk and let it build the picture while aircraft options are being checked. These are the fields that unlock the most progress soonest.

    • Where they are now, and where they need to be
    • The real deadline, and what happens if it is missed
    • Passport and visa status, the most common genuine obstacle
    • Whether everyone is together and able to reach an airport
    • Any medical, accessibility, minor or accompanying-animal considerations
    • Who has authority to approve the charter commercially

    Honest timelines

    The aircraft is usually the fastest part. What determines a realistic wheels-up time is the sum of aircraft positioning, crew availability within duty limits, airport operating hours at both ends, landing and overflight permits where borders are crossed, and border processing for the passengers.

    In practical terms: a domestic movement where an aircraft is nearby and the group already holds valid identification can often depart within hours. An international movement requiring permits and border clearance is more commonly same-day to next-day. A movement out of a constrained or disrupted airport is governed by that airport's capacity, not by our sourcing.

    We will give you the honest picture at the outset, including when the answer is that a scheduled option or a road movement to a better airport gets your people there sooner. We do not quote a departure time we cannot substantiate, and no aircraft is confirmed until it is contracted.

    Documentation is usually the real bottleneck

    Charter does not bypass immigration. Passengers still need valid travel documents and, where applicable, visas or entry authority for the destination. Groups assembled under pressure frequently include people with expired passports, documents held elsewhere, or dependants without their own paperwork, and that is where urgent movements actually stall.

    The practical response is to establish document status in the first hour, not the last. Where documents are missing, there are sometimes workable routes, emergency travel documents through the relevant consular authority, or a destination where entry is possible on the documents held, and identifying that early is worth more than any amount of speed on the aircraft side.

    Unaccompanied minors, passengers requiring medical clearance to fly, and accompanying animals each add their own documentation requirements, so flag them immediately rather than at the aircraft.

    How the movement runs

    One charter manager owns the movement from the first call through to arrival, with a direct number. That matters most in urgent work, where the situation changes and each change needs to be actioned rather than re-explained.

    In parallel with sourcing, the desk works the ground: handling at both ends, a suitable terminal or FBO, transport to and from the aircraft, and border coordination for the arrival. Where the departure airport is disrupted, alternate airports within reach of the group are assessed alongside the primary.

    Manifests in urgent movements are almost always fluid. We work to the operator's cut-off for advance passenger information and hold the manifest open as long as the sector allows, then confirm the final list. Groups still assembling should tell us the plausible maximum so the aircraft is not undersized at the last moment.

    Cost expectations for short-notice work

    Short notice costs more, for identifiable reasons: fewer aircraft are available, positioning is usually longer, crew may need to be assembled or duty-extended within legal limits, and out-of-hours airport and handling charges apply. That is the market condition, not a premium applied to urgency.

    What we do commit to is a written price with stated inclusions before you commit, even when the timeline is compressed, and telling you plainly where flexibility, a different airport, a departure a few hours later, splitting the group, would materially reduce it.
